BASIC FUNCTION & RESPONSIBILITY:  Serve as the primary contact for the Technology Department.  Perform administrative duties related to the daily operation of technology department office and provide clerical services to the director of information services and other staff.

Support of Administrative, Fiscal and/or Facilities Functions:

  • Prepare correspondence, memorandums, forms, requisitions, and reports for the technology department office
  • Compile, maintain, and file all reports, records and other documents as required
  • Answer incoming calls, take reliable messages, and route to appropriate staff; handle questions and requests that fall within level of responsibility
  • Prepare, process, and track all purchase orders and payment authorizations in accordance with budgetary limitations and district policies
  • Perform routine bookkeeping tasks to maintain department budget records; work with finance department to resolve vendor purchasing disputes
  • Purchase office supplies and general operating needs for the department
  • Maintain a schedule of appointments for the director of information services
  • Receive, sort, and distribute mail and other documents to department staff
  • Coordinate department vehicle inventory and schedule routine maintenance and repairs
  • Assist Director of IT Services with appropriate department budget reporting and tracking needs

  • Comply with policies established by federal and state law, including but not limited to State Board of Education and local Board policy
  • Perform other job-related duties as assigned

SUPERVISION EXERCISED: None

KNOWLEDGE, SKILLS & ABILITIES:

  • Knowledge of Information Services department policies and procedures
  • Knowledge of the latest developments in technology
  • Knowledge of computer hardware and software applications (various systems i.e. PC, Apple, Linux, etc.)
  • Knowledge of computer mobile devices (various systems i.e. Apple, Android, Windows, etc.)
  • Proficient keyboarding and file maintenance skills
  • Knowledge of correct English usage, grammar, spelling and punctuation
  • Basic math skills
  • Ability to use software to develop spreadsheets, perform data analysis, and do word processing

ENTRY QUALIFICATIONS: High school diploma or equivalent; 2-3 years secretarial experience, preferably in a public education environment 

PHYSICAL & MENTAL DEMANDS:

  • Standard office equipment, including computer and peripherals
  • Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
  • Frequent repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
  • Occasional light lifting and carrying (less than 15 pounds)
  • Work is performed in an office setting; may require occasional irregular and/or prolonged hours
  • Maintain emotional control under stress; work with frequent interruptions

ENVIRONMENTAL FACTORS:  Work is normally performed in a typical interior office work environment with little or no exposure to physical risk
